Quotations and handovers · ASRR Tech
When should a quotation require internal approval?
Define exceptions requiring review, such as unusual scope or conditions. Identify the reviewer and required information to prevent avoidable waiting.
A practical example
An adviser proposes an unusual delivery commitment requiring operational review.
This is an illustrative situation for assessing your own process.
Checklist for your team
- Define exceptions.
- Assign reviewers.
- Record decisions.
What does success look like?
An exceptional proposal is reviewed before committing to the customer.
Test this with a recognisable record and have a colleague review the outcome. Note missing information or decisions. Use that finding to improve a working agreement before applying the process more broadly.
Quotations and handovers: the wider process
A quotation records the offer, its conditions and the customer’s next step. Make the version received by the customer identifiable. Changes to price or scope can affect follow-up, scheduling and delivery. Agree who can make changes, who reviews them and what approval is sufficient for the next step. Walk through an example from enquiry to handover. Include a rejected quotation and a change after sending; these often reveal unclear expectations.
