Quotations and handovers · ASRR Tech

Why keep quotations and contact history connected?

Proposal context explains expectations and revisions. Ensure the next employee can retrieve relevant conversations and commitments alongside the document.

A practical example

A customer has verbally indicated a preferred option.

This is an illustrative situation for assessing your own process.

Checklist for your team

  1. Connect relevant context.
  2. Summarise decisions.
  3. Check handover quality.

What does success look like?

The next employee understands why the proposal takes its current form.

Test this with a recognisable record and have a colleague review the outcome. Note missing information or decisions. Use that finding to improve a working agreement before applying the process more broadly.

Quotations and handovers: the wider process

A quotation records the offer, its conditions and the customer’s next step. Make the version received by the customer identifiable. Changes to price or scope can affect follow-up, scheduling and delivery. Agree who can make changes, who reviews them and what approval is sufficient for the next step. Walk through an example from enquiry to handover. Include a rejected quotation and a change after sending; these often reveal unclear expectations.
