Configure online appointments: forms, Outlook, Teams and changes
A booking page is complete when availability, invitations and changes work together. Use these field choices and test scenarios for online meetings, optional phone numbers, buffers, cancellation and rescheduling.

Define the appointment first
Before booking, visitors should know who attends, how long it lasts, what it helps achieve and where it happens. “Consultation” is insufficient when one service is online and another is a home visit.
For example, describe an online demo as thirty minutes via Microsoft Teams, covering one recognisable process and questions. Do not require a visit address for an online meeting. Keep phone optional when email and a meeting link are sufficient.
Collect preparation information
| Field | Practical choice for an online demonstration |
|---|---|
| Name | Addressing and invitation |
| Confirmation and calendar request | |
| Date/time | With an explicit time zone |
| Phone | Optional unless a specific need is explained |
| Organisation | If helpful for preparation |
| Meeting question | Short optional context, not a full intake |
Keep the question with the appointment and related CRM enquiry. Staff should not need to ask for the same context again. Explain invalid input clearly and preserve entered values when recovering.
Availability requires more than an empty calendar
Include working hours, existing appointments, absence, preparation and buffers. Microsoft Graph getSchedule provides free/busy information; a connected booking product still needs scheduling rules.
For an illustrative calculation, thirty minutes of conversation plus ten minutes before and after requires fifty available minutes. Microsoft Bookings documents that buffer periods affect required availability.
Recheck availability before confirming. Two visitors may have the same slot open. Test concurrent booking attempts: a calendar display alone does not establish conflict protection.
“Online” and a working Teams link are separate checks
A “via Teams” label does not create a meeting. The organiser needs a suitable connected account or another configured invitation route.
Microsoft's service documentation explains how Bookings can attach online meetings and links. This describes Microsoft Bookings, not proof that another scheduler already does the same.
Inspect invitations as organiser and external attendee. Check date, time zone, duration, organiser, meeting link and description. Open the link using the intended joining method. A calendar record without usable participation is incomplete.
Rescheduling, cancellation and no-shows
Rescheduling should release the old slot, reserve the new one and notify participants clearly. Preserve the relation to the original enquiry rather than silently creating another active appointment.
Cancellation should have the same outcome in calendar and CRM. Define whether a person follows up or closes the enquiry. A no-show may warrant an invitation to reschedule; it does not automatically mean a lost sale.
Reminders should provide topic, time, joining instructions and preparation. Avoid making them look like separate invitations with different links.
Pre-publication test matrix
| Scenario | Expected result |
|---|---|
| Blank phone | Online booking succeeds |
| Busy calendar period | Unavailable |
| Insufficient buffer | No impractical slot |
| Outside hours or on leave | Unavailable |
| Reschedule | One current appointment, old slot released |
| Cancel | Calendar and CRM reflect it |
| Different time zone | Same actual moment for both people |
| Temporary integration failure | Clear recovery and internal ownership |
Use clearly identified test bookings and remove them afterwards. Also read minimum lead data and integration design. Test the complete appointment rather than just its form.
