Lead tracking
Lead tracking. Know who to follow up.
Tracking leads means more than collecting names. You need to know where someone came from, what you discussed and when to contact them again. A consistent process turns a list of interested people into a useful shared view for your team.
What is a lead?
A lead is a person or organisation that may become a customer. They might request a brochure, book an appointment or ask about your services on Instagram. Not every enquiry is a qualified sales opportunity. Record what the person is looking for and which next step fits their interest.
How to track leads: five essential details
Start with contact information, the enquiry source, the status, the colleague responsible and the next action with a date. Add short notes after each conversation. A colleague should be able to understand where things stand without reconstructing an entire inbox. Only request information that is needed for this process.
Make the next action specific
A status such as “in progress” does not explain what needs to happen. “Call on Tuesday about the quotation” does. Agree who makes contact, when a lead is handed over and when to close the opportunity. Alpha brings the lead, contact history and follow-up together in the CRM process.
Instagram leads follow the same customer journey
At Mannen met een Missie, contact often starts in an Instagram DM. The shared Instagram inbox in Alpha connects these conversations to CRM leads. The team can organise the first conversation alongside follow-up, appointments and subsequent sales steps. The channel changes; the need for context and ownership stays the same.
In practice
A practical lead tracking example
| Process stage | What to record |
|---|---|
| New enquiry | Contact information and source, such as a website form or Instagram. |
| First conversation | The question, relevant context and the person responsible. |
| Appointment or proposal | The agreed next step and when to make contact again. |
| Outcome | Became a customer, revisit later or closed, with a short reason. |

Can I track leads in Excel?
Yes, particularly when one person manages a limited number of leads. With several colleagues or contact channels, keeping history and actions up to date becomes harder. A CRM brings that information together in a shared process.
What is the difference between a lead and a customer?
A lead is interested or may fit your offering but has not purchased yet. A customer is a relationship you do business with. Recording that transition helps you understand the outcome of your sales process.
Can I combine leads from different channels?
Alpha connects website forms, brochure requests, bookings and business Instagram conversations with the CRM. Together we assess the channels and configuration your team needs.
