CRM for coaches: from an Instagram conversation to intake and programme

Organise sales conversations without treating every interested person as a client. This guide covers intake stages, transferable summaries, capacity and the boundary between sales context and personal coaching information.

Separate interest, intake and coaching

An Instagram reply may be a question, casual interest or a request to talk. Establish the intention before opening a sales journey. A follower is not yet a lead; a booked intake is not a started programme.

A simple commercial route is conversation started, intake requested, intake booked, intake completed, offer discussed and started or closed without starting. Define evidence for each transition. Calls and messages remain activities rather than stages.

Keep a useful summary

Do not routinely copy an entire personal conversation into a widely accessible CRM. A commercial summary may suffice:

Interested in [offer]. Wants to know how [practical question] fits [availability]. Intake requested for [time]. Conversation began on Instagram. Next action: [name] confirms the appointment.

This fictional example prepares the next conversation without becoming a coaching case file. Ask which colleague needs each note for which task.

The EDPB identifies health information as special-category personal data. Do not routinely request diagnoses or medical details on sales forms. Where coaching genuinely requires such information, assess purpose, access and lawful processing separately.

Prepare a conversation rather than an interrogation

Use the original question. Someone worried about time commitment needs a different discussion from someone comparing two programmes.

This is a conversation aid, not a medical intake protocol. HubSpot's qualification resource provides commercial themes; adapt the approach to your relationship and service.

Assign conversations and capacity deliberately

Name one responsible person even when several coaches can reply. During handover, the recipient reads the summary and confirms who continues contact. A shared inbox can still produce duplicate messages without ownership rules.

Separate capacity from interest. A suitable person may have to start later. Explain the position and review date before promising a start.

For example, a prospect prefers November but the suitable coach is available in December. Record both facts and agree whether another coach, a later start or closure makes sense. “Warm” alone does not describe the situation.

Follow up with substance

Connect the offer to the discussed need, format and practical agreements. Ask what remains unclear rather than applying generic pressure.

We discussed [goal] and [practical condition]. The proposal includes [format and duration]. Your remaining question was [question]. Shall we review it at [agreed time]?

For unsuitable requests, record the factual commercial reason and close sales actions. Rejection should not generate unnecessary personal notes.

Hand over and measure the actual journey

At the start, the coach receives programme choice, start date, commitments and necessary context. Define who gathers further coaching information and where.

Compare channels by suitable completed intakes and programme starts rather than message counts. Referrals may produce fewer conversations but more suitable starts. Use consistent periods and definitions; a rescheduled intake is not another person.

Team checklist

  • Interest and client status are distinct.
  • Each active conversation has an owner and next action.
  • Sales notes contain appropriate context.
  • Start commitments match coaching capacity.
  • Coaches can retrieve commercial agreements at handover.

Also read team ownership and lead-quality measurement. Automate only once these agreements work in practice.
